POSITION:               Long Term Substitute Administrative Assistant, Athletics Department

10 Month School Year

 

JOB GOAL:              To facilitate and support the efficient operations of the Athletic Department.

 

QUALIFICATIONS:           

  1. High school graduate with courses in business and/or office procedures. Associate Degree preferred.
  2. Proficient in word processing, use of office machines, computer operations to include use of internet, email, calendars, spreadsheet.
  3. Experience with student information systems preferred.
  4. Ability to interact with staff, students, parents and the public in a professional and courteous manner.
  5. Prior experience as an administrative assistant preferred.

 

REPORTS TO:         Athletic Director                

 

PERFORMANCE RESPONSIBILITIES:                        

  1. Effectively manage/coordinate simultaneous projects and successfully prioritize multiple tasks in a detail-oriented and thorough manner. Works with minimal supervision.
  2. Communicate effectively and confidentially via phone and email.
  3. Perform duties in a professional, courteous and accurate manner.
  4. Assist supervisor with organization of various events, publications and projects e.g. file sharing and presentation software.
  5. Maintain well-organized, accurate records and files.
  6. Support maintenance of student data systems and student/staff records (e.g. student information systems, web-based registration, staff attendance, staff employment forms/reports) when
  7. Maintain confidentiality of all student and staff information.
  8. Manage supervisor’s correspondence, appointments and calendar when
  9. Greet and assist public and substitute staff.
  10. May be required to prepare payroll records and accounts receivable/payable in accordance with the collective bargaining agreement.
  11. Implement school district policies, guidelines, rules and regulations pertinent to the position as directed.
  12. Attend and apply professional development to practice.
  13. Maintain and order school supplies when necessary.
  14. Other duties as assigned by immediate supervisor in accordance with collective bargaining agreement.

 

PHYSICAL REQUIREMENTS:   

Typical office conditions: sitting, bending, stooping, filing, occasional lifting of up to 25 pounds of office supplies/files.  Close vision at or correctable to normal range.

 

 

TERMS OF EMPLOYMENT:
