POSITION: Long Term Substitute Administrative Assistant, Athletics Department
10 Month School Year
JOB GOAL: To facilitate and support the efficient operations of the Athletic Department.
QUALIFICATIONS:
- High school graduate with courses in business and/or office procedures. Associate Degree preferred.
- Proficient in word processing, use of office machines, computer operations to include use of internet, email, calendars, spreadsheet.
- Experience with student information systems preferred.
- Ability to interact with staff, students, parents and the public in a professional and courteous manner.
- Prior experience as an administrative assistant preferred.
REPORTS TO: Athletic Director
PERFORMANCE RESPONSIBILITIES:
- Effectively manage/coordinate simultaneous projects and successfully prioritize multiple tasks in a detail-oriented and thorough manner. Works with minimal supervision.
- Communicate effectively and confidentially via phone and email.
- Perform duties in a professional, courteous and accurate manner.
- Assist supervisor with organization of various events, publications and projects e.g. file sharing and presentation software.
- Maintain well-organized, accurate records and files.
- Support maintenance of student data systems and student/staff records (e.g. student information systems, web-based registration, staff attendance, staff employment forms/reports) when
- Maintain confidentiality of all student and staff information.
- Manage supervisor’s correspondence, appointments and calendar when
- Greet and assist public and substitute staff.
- May be required to prepare payroll records and accounts receivable/payable in accordance with the collective bargaining agreement.
- Implement school district policies, guidelines, rules and regulations pertinent to the position as directed.
- Attend and apply professional development to practice.
- Maintain and order school supplies when necessary.
- Other duties as assigned by immediate supervisor in accordance with collective bargaining agreement.
PHYSICAL REQUIREMENTS:
Typical office conditions: sitting, bending, stooping, filing, occasional lifting of up to 25 pounds of office supplies/files. Close vision at or correctable to normal range.
TERMS OF EMPLOYMENT:
This is a temporary position.
