Administrative Assistant – Special Education

 

JOB GOAL: To perform administrative assistant work of considerable variety and complexity in support of the Executive Director of Special Education. 

 

QUALIFICATIONS:           

  1. Bachelor’s Degree preferred.
  2. Five years prior experience as an administrative assistant.
  3. Ability to interact with staff, parents and the general public in a professional and courteous manner while maintaining confidentiality.
  4. Knowledge of state and federal guidelines for special education.
  5. Proficient in word processing, use of office machines, computer operations to include use of internet, email, calendars, spreadsheets.
  6. Such alternatives to the above as the Executive Director of Special Education may find appropriate and acceptable.

 

REPORTS TO:                   Co-Directors of Special Education

 

PERFORMANCE RESPONSIBILITIES:

 

  1. Prepare correspondence, reports and other materials of a general, confidential and technical nature.
  2. Arrange and confirm appointments and meetings for the Executive Director.
  3. Plan, organize and complete work responsibilities in a professional, courteous and accurate manner. Works with a minimum of supervision.
  4. Communicate effectively and confidently via phone and email.
  5. Maintain well organized, accurate records and files.
  6. Maintain confidentiality of all student and staff information.
  7. Process and track Individualized Education Plans (IEPs) for all special education students in the district. Maintain and update related software files.
  8. Facilitate translation of all special education documents for parents whose primary language is not English.
  9. Serve as back-up to the Administrative Associate-Finance & Grants for circuit breaker and Medicaid processing as needed.
  10. Implement emergency procedures if the need arises based on established office policy.
  11. Perform any duties or responsibilities in keeping with the scope of the position as assigned by the Executive Director of Special Education.

 

PHYSICAL REQUIREMENTS:

Typical office conditions: sitting, bending, stooping, filing, occasional lifting of up to 25 pounds of office supplies/files.  Close vision at or correctable to normal range.  

 

EVALUATION:                                    Performance of this position will be evaluated yearly by the Executive Director of Special Education in accordance with the School Committee policy for evaluation of classified staff.

 

TERMS OF EMPLOYMENT:            This is a 40 hour per week, 12 month position.  Non-affiliated group.
